Terms & Cancellation Policy

These terms govern your use of WithCove. By booking a service through a WithCove link or creating a business account, you agree to them. The booking page shows the specific business's cancellation cutoff and reschedule limit; this page is the platform-wide backstop if anything is ambiguous.

1. What WithCove is

WithCove is software that lets service businesses accept bookings and payments online. The business is the seller of the service. WithCove is the software they use to accept bookings; we are not a party to the service itself.

2. Cancellations & refunds (the rules)

Each business sets a cancellation cutoff (most use 24 hours) and a reschedule limit (most allow 2). Both are shown on the booking page before you pay, and again on your manage page after.

  • Customer cancels before the cutoff: deposit refunded in full. Refunds land back on the original card in 5–10 business days.
  • Customer cancels after the cutoff, or no-shows: deposit is forfeited. The business may also charge any remaining balance using the card on file if the booking was set up that way.
  • Business cancels (any reason): the deposit and any captured payment are refunded in full, automatically.
  • Reschedule within the limit: free, no charge, deposit carries over to the new time.
  • Service quality complaint:contact the business first. If you can't reach a fair resolution within 48 hours of the appointment, tap Request review on your manage page. WithCove will review both sides — see section 4.

3. Payments & processing

Payments are processed by Stripe. The business connects its own Stripe account; the funds you pay go to the business, not to WithCove. Your card statement will reflect the business's name. WithCove takes a platform fee from each transaction.

4. Disputes & chargebacks

If something goes wrong, the order of operations matters:

  1. Talk to the business first. Most issues are misunderstandings and get sorted in one conversation.
  2. If that fails, tap Request review on your manage page within 48 hours of the appointment. Describe what happened. You can attach a photo if it helps your case. WithCove pauses any remaining balance capture and reviews both sides.
  3. Chargebacks are a last resort. Filing a chargeback with your bank while the WithCove review is open delays the resolution and may forfeit any refund you would have received through the platform.

When you complete a booking, you accept this cancellation policy. Your acceptance timestamp and the policy version above are recorded on the booking — Stripe asks for this evidence in chargeback reviews.

5. Acceptable use

Don't use WithCove to sell illegal services, harass other users, attempt to circumvent rate limiting, or scrape other businesses' data. We may suspend or terminate accounts that violate these rules.

6. SMS

WithCove sends transactional SMS (confirmations, reminders, cancellations) on behalf of businesses to the phone numbers their customers provide. Message and data rates may apply. Reply STOP to any message to opt out.

7. Availability

We aim to keep WithCove online and functioning, but we don't guarantee uninterrupted service. We're not liable for business losses resulting from outages or data loss beyond what's required by applicable law.

8. Termination

You may delete your account at any time by contacting us. We may terminate accounts that violate these terms. On termination, active bookings remain valid with the business that accepted them.

9. Changes

We may update these terms. Material changes will be announced via email to business operators. Bookings made before a change are governed by the version in effect at the time of booking — your acceptance is timestamped on the booking record.
